How To Backup PENFriend Data To Your Computer

Follow these simple steps to backup the data from your PENFriend to your computer. Performing a backup of your PENFriend on a regular basis (i.e. weekly) will ensure you can quickly restore your recordings onto a replacement PENFriend should the original one be lost or fail to work for various reasons. Failing to perform regular backups may result in the need to re-record all your labels in the event of a PENFriend melt-down or some other such tragedy…not a whole lot of fun!

  1. Using the wider of the two plugs on the USB cable that was provided with your PENFriend, connect the cable to a USB port on your computer.
  2. Connect the narrow plug to the USB port located under the small rubber flap which is on the left side of the PENFriend. This flap can be easily located left side of the Power On/Off button when you are holding the PENFriend so that the buttons are facing up and the pointed end is closest to you.)
  3. If your computer is on when you connect the cable to it and the PENFriend, you will hear a two note chime, followed by a dialogue box asking what you would like Windows to do.
  4. Arrow down until you hear JAWS announce, “Open folder to view files using Windows Explorer” and press TAB once.
  5. You will land on a check box that asks, “Always do the selected action.” Press the SPACE BAR to check this check box.
  6. TAB once until JAWS announces, “oK” and press ENTER. A window will appear displaying the three folders that reside on your PENFriend.

    NOTE: You will only need to do this once. In future, when you connect the PENFriend to your computer, Windows will automatically open a window displaying the three folders on your PENFriend.

  7. Select all three folders by pressing the CTRL + A key.
  8. Copy the selected folders to the clipboard. Remember to *copy* and do not Cut and paste these folders to your clipboard.
  9. Go to your desktop and click on “My Documents”
  10. If you have not already done so, create a new folder in “My Documents” entitled “PENFrend Data” or whatever you choose to name it.
  11. Position your cursor on the newly created “PENFriend Data” folder and press ENTER
  12. Paste the data from your clipboard using CTRL + V key. Copies of the three folders on your PENFriend (i.e. AP4, MP3 and REC) will be copied to your computer.

    NOTE: When performing subsequent backups, Windows will ask if you wish to overwrite the existing folders in your “PENFriend Data” folder. Press TAB once until JAW announces, “Yes to all” and press ENTER.

  13. When finished, do not simply unplug your PENFriend from the USB cable! Be sure to follow the “Safely Remove Hardware” process which resides in your System Tray. You can access the System Tray by pressing JAWS KEY + F11 and arrowing down to the “Safely Remove Hardware” function. TAB once, press ENTER and TAB through the prompts until Windows eventually tells you it is safe to remove the hardware device.
How To Restore PENFriend Data from Your Computer

Restoring your data from your computer back to your PENFriend in the event of a PENFriend melt-down is as simple as performing a backup. In this case, we will simply reverse the steps.

  1. Using the wider of the two plugs on the USB cable that was provided with your PENFriend, connect the cable to a USB port on your computer.
  2. Connect the narrow plug to the USB port located under the small rubber flap which is on the left side of the PENFriend.
  3. A window will appear displaying the three folders (i.e. AP4, MP3 and REC) that reside on your PENFriend.
  4. Minimize this window by pressing CTRL + M key.
  5. You will now find yourself on your desktop. Click on “My Documents”.

    NOTE: If your backed up PENFriend data files reside in a different location on your computer, you will need to click on “My Computer”, click on the appropriate drive and locate the folder where your PENFriend data resides

  6. Position your cursor on the “PENFriend Data” folder and press ENTER
  7. Select all three sub-folders by pressing the CTRL + A key.
  8. Copy the selected sub-folders to the clipboard. Remember to *copy* and do not Cut and paste these sub-folders to your clipboard.
  9. Again, minimize this window by pressing CTRL + M key.
  10. Press ALT + TAB key to access the open applications on your Task Bar. Find the window that is displaying the data on your PENFriend and release the ALT + TAB keys.
  11. Paste the data from your clipboard using CTRL + V key.

    NOTE: When performing this restore procedure, Windows will ask if you wish to overwrite the existing folders on your PENFriend? Press TAB once until JAWS announces, “Yes to all” and press ENTER.

  12. Copies of the three sub-folders from your backed up PENFriend data folder will now be copied onto your PENFriend (i.e. AP4, MP3 and REC) and your restore is now complete.

  13. Finish this restore procedure by closing each of the open windows on your Task Bar. Position your cursor within each window by pressing ALT + TAB to find the open windows on the TASK Bar. Once you are within an open window, press ALT + F4 to close the window and repeat the procedure for the other open window.
  14. When finished, do not simply unplug your PENFriend from the USB cable! Be sure to follow the “Safely Remove Hardware” process which resides in your System Tray. You can access the System Tray by pressing JAWS KEY + F11 and arrowing down to the “Safely Remove Hardware” function. TAB once, press ENTER and TAB through the prompts until Windows tells you it is safe to remove the hardware device.
